Privacy Policy
Last updated: 2026-07-26. How GugloPlex, s.r.o. collects, uses, and protects your personal data on Hotelink.

We have not appointed a Data Protection Officer (DPO), as this is not required for our processing activities under Article 37 GDPR.
This Privacy Policy explains how we collect, use, share, and protect personal data when you use the Hotelink website to search for and book hotel accommodation, in accordance with the EU General Data Protection Regulation (GDPR) and applicable Czech law.
1. What personal data we collect
We collect the following categories of personal data:
- Booking data: first name, last name, email address, stay dates, room/rate selected, price and currency, and identifiers relating to your payment (via Stripe) and your reservation with the hotel (via our reservation partner WebHotelier).
- Account data (if you create a customer account): email address, password (stored in hashed form), first name, last name, and phone number.
- Usage data tied to an anonymous visitor identifier: your recent searches (destination, check-in/check-out dates, number of guests), hotels you have viewed, and hotels you have saved as favorites.
- Contact form data: whatever information you choose to submit through a contact or inquiry form on our site (for example, name, email address, and message).
2. How we use your personal data and our legal bases
- To create and manage your booking, and to communicate with you about it (performance of a contract, Article 6(1)(b) GDPR).
- To process payment for your booking through Stripe, and to pay the hotel through our reservation partner WebHotelier (performance of a contract, Article 6(1)(b) GDPR).
- To maintain your customer account, if you create one (performance of a contract, Article 6(1)(b) GDPR).
- To keep accounting, tax, and booking records as required by law (legal obligation, Article 6(1)(c) GDPR).
- To remember your recent searches, recently viewed hotels, and favorites so the site is more useful to you on return visits, using a functional cookie that is strictly necessary for these features (legitimate interest, Article 6(1)(f) GDPR — see our Cookie Policy).
- To respond to messages you send us through a contact form (legitimate interest in handling your enquiry, Article 6(1)(f) GDPR, or performance of pre-contractual steps at your request, Article 6(1)(b) GDPR).
- To detect, prevent, and address fraud, abuse, or security issues (legitimate interest, Article 6(1)(f) GDPR).
3. Who we share your personal data with
We share personal data only with the following categories of recipients, to the extent necessary:
- Stripe, our payment processor, to process your payment securely. We do not store your full card details ourselves.
- WebHotelier, our hotel reservation partner, which receives your name, email address, and stay details in order to confirm and manage your reservation directly with the hotel.
- Resend, our transactional email provider, used to deliver account-related emails (such as password reset emails) and, where applicable, notifications about form submissions.
- Bunny.net, our content delivery network provider, which hosts hotel photography. Bunny.net does not receive your personal data through this integration.
- Public authorities, where we are required to disclose personal data to comply with a legal obligation or a valid request from a competent authority.
We do not sell your personal data, and we do not use any advertising or analytics trackers on our site at this time.
4. International data transfers
Some of the service providers listed above may process personal data in countries outside the European Economic Area (EEA). Where this occurs, we rely on appropriate safeguards recognized under GDPR, such as the European Commission's Standard Contractual Clauses, to ensure your personal data continues to receive an adequate level of protection.
5. How long we keep your personal data
- Booking and payment records: retained for up to 10 years, in line with Czech accounting and tax law record-keeping obligations.
- Customer account data: retained for as long as your account remains active, and deleted or anonymized within a reasonable period after you close your account or request deletion, subject to the retention obligation above for any related booking records.
- Recent searches, viewed hotels, and favorites: retained for as long as necessary to provide these features, or until you request their deletion.
- Contact form submissions: retained for as long as necessary to handle and follow up on your enquiry.
6. Your rights
Under the GDPR, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate or incomplete personal data.
- Request erasure of your personal data, subject to any legal obligation we have to retain it (for example, booking and accounting records).
- Request restriction of, or object to, certain processing of your personal data.
- Request a portable copy of personal data you have provided to us.
- Withdraw consent at any time, where processing is based on consent, without affecting the lawfulness of processing before withdrawal.
- Lodge a complaint with a supervisory authority — in the Czech Republic, the Office for Personal Data Protection (Úřad pro ochranu osobních údajů), or the supervisory authority in your own country of residence.

7. Cookies
Our website uses a small number of cookies to keep you signed in and to remember your recent searches and favorites. Full details of each cookie we use, its purpose, and how long it lasts are set out in our Cookie Policy.
8. Children
Hotelink is intended for use by adults arranging travel and accommodation. We do not knowingly collect personal data from children.
9. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or regulatory reasons. The "Last updated" date at the top of this page indicates when it was last revised.
